1. Scope

This Privacy Policy explains how Pawbud collects, uses, shares, stores, and protects information when you use the Pawbud Health app/website.

We follow applicable Indian privacy and technology laws, and the Digital Personal Data Protection (DPDP) framework.

2. Definitions (Plain English)

  • Personal Data: Information that identifies you (directly or indirectly), e.g., name, phone, address, device identifiers.

  • Pet Data: Information about your pet (e.g., breed, age, symptoms). Pet Data may not be "personal data" by itself, but it can become personal if linked to you.

  • Processing: Collecting, storing, using, sharing, or deleting data.

3. Information We Collect

3.1 Information you provide

  • Account details: name, phone number, email, address/pincode

  • Pet profile details: species, breed, age, weight, history you enter

  • Uploads: pet photos/videos, notes, chat messages

  • Booking details: appointment preferences, test booking details, sample collection address

  • Support requests: messages, attachments, call/chat records with support

3.2 Information collected automatically

  • Device and app data: device model, OS version, app version

  • Usage logs: pages/screens viewed, clicks, crash logs

  • Cookies/SDK data on web and in-app analytics

3.3 Payment information

Payments are processed by third-party gateways (e.g., Razorpay). We receive payment status and limited transaction metadata; we do not store complete card details.

4. How We Use Information

We use data to:

  • Provide Services (AI scans, bookings, report delivery, support)

  • Verify identity and prevent fraud

  • Communicate transactional updates (OTP, confirmations, reminders)

  • Improve reliability and user experience (performance analytics, crash diagnostics)

  • Marketing/ads measurement (where enabled and permitted)

  • Legal compliance, dispute handling, and enforcement of Terms

These purposes align with common platform privacy structures and Indian compliance expectations.

5. AI Improvement - Opt-in Consent

If you opt in, we may use certain uploads/interactions to improve models and product quality. If you do not opt in, we will use your data only to provide the service, maintain security, prevent abuse, and meet legal/compliance requirements.

You can withdraw opt-in later (prospectively). (Some retained copies may remain as required for legal/compliance or where already de-identified/aggregated.)

6. Call Recordings and Chat Transcripts (Tele-consults)

We record and/or store tele-consult call data and chat transcripts for compliance, quality, dispute resolution, and safety.

Retention schedule (your stated policy):

  • Active storage: 1 year

  • Archive: 5 years

  • Deletion: after 5 years archived, data is permanently deleted and cannot be recovered.

7. Cookies, SDKs, Analytics, and Advertising

We use cookies and SDKs (including Meta/Google and similar analytics/crash tools) to:

  • Measure performance and app stability

  • Understand feature usage

  • Attribute marketing campaigns and improve acquisition

Cookies may include functional, performance, and advertising cookies—similar to common practices described in comparable privacy policies.

You may control cookies via browser settings (web). For app tracking controls, we will provide settings as available on your device/OS and within the app where feasible.

8. How We Share Information

We may share data with:

  • Independent vets/clinics (to deliver tele-consults/appointments)

  • Third-party labs (to schedule sample collection, run tests, generate results)

  • Vendors/processors (cloud hosting, customer support tools, analytics, crash reporting, payment processing)

  • Legal/compliance (to respond to lawful requests, enforce Terms, prevent harm)

We require vendors to use data only for contracted purposes and apply reasonable security safeguards, consistent with typical platform privacy structures.

9. Cross-border Transfers

We may store/process data on servers located in India and/or other countries depending on our cloud and service providers, subject to applicable Indian law and reasonable safeguards.

10. Data Security

We use reasonable technical and organizational measures to protect data (access controls, encryption in transit where feasible, monitoring, and vendor due diligence). However, no internet system is 100% secure.

11. Data Retention (General)

We retain data:

  • As needed to provide Services

  • As required for legal/compliance, accounting, and dispute resolution

  • Per retention rules stated in this policy (including tele-consult recordings/transcripts)

When no longer needed, we delete or de-identify data.

12. Your Rights and Choices (India)

Subject to applicable law and verification:

  • Access, correction, and updating of your account information

  • Deletion of your account (and associated data, subject to legal retention needs)

  • Withdrawal of consent (including AI improvement opt-in)

  • Marketing opt-out (you may still receive transactional/service messages)

India's DPDP framework emphasizes consent, purpose limitation, storage limitation, and user rights; we aim to support these principles in our workflows.

13. Children's Privacy

The Platform is intended for users 18+. If we learn we collected personal data from a minor without appropriate consent/authority, we will take steps to delete it.

15. Changes to this Privacy Policy

We may update this Policy. Changes become effective when posted on the Platform, with an updated "Last Updated" date.

16. Account deletion request

You may request us to delete your account by sending us an email at hello@getpawbud.com with the subject line "Request for account deletion". In your account deletion request, kindly include your registered phone number, your email address and your full name. Once received, we will process your request within 14 business days and send you a confirmation via email.
